CANDIDATE PRIVACY · 10 OCTOBER 2026

Your information.
Handled with care.

How MAC NE RECRUITMENT LIMITED will use candidate information when online applications open.

Who is responsible

MAC NE RECRUITMENT LIMITED is the data controller responsible for your recruitment and workforce information. It is registered in England and Wales under company number 12403461, with its registered office at Q11, Quorum Park, The Hub, Benton Lane, Newcastle Upon Tyne, England, NE12 8BU. MAC NE Group is the trading brand of MAC NE LIMITED; recruitment and workforce services are provided by MAC NE RECRUITMENT LIMITED. Contact enquiries@mac-ne.com with privacy questions, requests or changes to your preferences.

What we collect and why

We collect your contact details, location, work history, qualifications, availability, work preferences, CV and the information you choose to provide. We use these to assess your application or current enquiry, contact you and manage the recruitment process. Right-to-work and role-specific qualification information supports necessary checks. Please do not upload passports, bank details, medical information or other compliance documents as a CV.

Our basis for using information

We use information where necessary to take steps at your request towards an engagement, to meet legal obligations, and for our legitimate interests in administering recruitment and maintaining appropriate records. We consider your rights when relying on legitimate interests. The application checkbox acknowledges this notice; it is separate from optional talent-pool consent.

Your choice about future opportunities

We ask separately for your consent to retain your profile in the talent pool and contact you about future opportunities. The box is optional and is not pre-selected. Declining does not affect your current application or enquiry. You can withdraw this consent by emailing us; we will stop talent-pool use. Withdrawal does not affect processing already carried out or records we still need for another lawful purpose.

How long we keep information

Our default is to delete or anonymise recruitment information 12 months after your last meaningful contact or application. Meaningful contact includes a new application or a substantive two-way recruitment discussion. Routine mailouts, website visits and internal administration do not restart that period.

Information needed for an active assignment is retained while required to manage it. We may retain relevant records longer for legal, contractual, compliance or claims requirements. We record the reason and review date for an exception rather than keeping a whole profile indefinitely. A Candidate ID is not reused for another person; it does not justify retaining personal information indefinitely.

Storage and sharing

When enabled, the submission service sends records and original CVs into the MAC NE Microsoft 365 / SharePoint environment. The website processes uploads in transit and is not the long-term CV archive. Access is restricted to authorised personnel and service providers supporting recruitment.

We may share relevant, agreed information with a prospective employer or client for a recruitment opportunity. A separate draft uses your Candidate ID. A recruiter must prepare and review its content, removing personal contact details and agreed identifiers before approving any client sharing. The draft is not an automatically redacted copy of your original CV. Original CVs and compliance records are held separately. Service-provider processing outside the UK, where applicable, must be covered by appropriate transfer safeguards.

Your rights and decisions

You can ask to access or correct information, request deletion or restriction, object to processing based on legitimate interests and request portability where applicable. These rights depend on the circumstances. Hiring decisions are made by people; this workflow does not make solely automated hiring decisions. You can raise concerns with us or with the Information Commissioner’s Office.

Current service status

Online applications and CV uploads remain disabled while final recruitment checks are completed. No details typed into the review forms are sent or saved. This notice will apply when the submission service is enabled.
